1. Who we are

The Student Connexion (“TSC”, “we”, “us”) provides a careers guidance platform — a student portal and an advisor dashboard — licensed to Australian secondary schools. This policy explains what personal information we collect through that platform, how we use it, who we share it with, and the choices and rights students, parents/guardians and school staff have.

2. Scope

This policy covers the TSC student portal and advisor dashboard as licensed to a school. It does not cover the school’s own systems, or any other product or website — including The Student Connexion’s resources for individual families, which are covered by a separate policy. Where our services are provided to a school under a School Services Agreement and Data Processing Agreement, those agreements govern the relationship between TSC and the school, and this policy explains our privacy practices to students, parents/guardians and advisors using the platform.

3. What information we collect

Some of the information above — particularly the optional self-disclosed factors in the quiz (health situation, learning difference or disability) — is “sensitive information” under the Privacy Act 1988 (Cth). We only collect this where a student chooses to disclose it, it is clearly marked as optional at the point of collection, and it is used only to help the student’s own careers advisor support them.

4. How we use personal information

  • To generate quiz outcomes, Pathway Action Plans, interview practice feedback and resume feedback
  • To let a school’s advisors view and support students at their own school only
  • To produce usage analytics for the school’s advisor dashboard
  • To maintain and improve the platform, including diagnosing technical issues
  • To communicate with advisors about their account (e.g. password resets)

We do not use personal information for direct marketing to students, and we do not sell personal information to any third party.

5. AI processing and anonymisation

Where quiz responses are sent to our AI provider (Microsoft Azure) to generate outcomes and Pathway Action Plans, we send an anonymised profile only — student names and emails are not included and remain solely in our database. Interview practice audio and resume images are sent to the AI provider to generate feedback but are not stored by us before, during or after that process. Advisor-facing AI-generated student summaries have the student’s name removed before being sent for processing.

Our AI provider does not use this data to train its models. It may retain data for a short period (industry-standard practice is up to 30 days) solely to detect misuse of its service, before automatic deletion.

We are working to align our data hosting location with our AI processing location (both in Australia). Until that migration occurs, database information is hosted in Japan under Microsoft/Supabase’s standard data protection terms; access to it is restricted to authorised TSC personnel and each school’s own advisors.

7. Children’s privacy

Our platform is used by secondary school students, most of whom are minors. We collect only the information described in this policy, do not use it for advertising, and rely on schools to obtain appropriate parental/guardian consent for their students’ use of the platform as part of the school’s own enrolment and technology-use processes. Where a student is asked to disclose sensitive information (see section 3), this is always optional and explained at the point it is requested.

8. Security

  • Advisor accounts require multi-factor authentication
  • Database access is restricted by row-level security so an advisor can only see students at their own school
  • Data in transit is encrypted (HTTPS/TLS)
  • We maintain an Information Security Policy and Incident Response Plan describing our broader security practices

9. Data retention and deletion

We retain personal information only for as long as necessary for the purposes described in this policy, or as required by law. See our separate Data Retention & Deletion Policy for specific retention periods. Resumes and interview-practice audio are not retained at all beyond the single request needed to generate feedback.

10. Access, correction and complaints

Students, parents/guardians (via the school) and advisors may request access to, or correction of, personal information we hold, by contacting the school in the first instance, or us directly using the contact details in section 1. If you believe we have mishandled personal information, you may lodge a complaint with us; if you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

11. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top of this document reflects the most recent version.
